Author Guidelines

The Author Guidelines comply with the recommendations of CSE’s White Paper on Promotion Integrity in Scientific Journal Publications, 2012 Update.

I. GENERAL TERMS

iPolytech Journal publishes original and review articles from graduate students, candidates, doctoral candidates, specialists, and experts, conducting fundamental and applied interdisciplinary research in the fields of energy, mechanical engineering, and metallurgy. In addition to regular articles, brief reports containing significant findings that do not require extensive elaboration are also considered for publication.

The editorial board reserves the right to reject articles that do not comply with the Guidelines, (notifying the corresponding author of the rejection).

The preparation and publication of manuscripts in the Journal is free of charge.

Mission of the Journal: to become one of the leading platforms in Siberia and the Far East of Russia for the introduction and discussion of cutting-edge research results and new technologies in energy, metallurgy, and mechanical engineering.

Objectives:

  • to promote modern practices in the application of mathematical modeling, optimization methods, and artificial intelligence in energy, metallurgy, and mechanical engineering;
  • to highlight theoretical, numerical, and experimental results obtained by leading researchers, engineers, and graduate students;
  • to ensure a high level of constructive dialogue between the expert community and authors.

 

II. AUTHOR GUIDELINES FOR SUBMISSION OF A MANUSCRIPT

The submission of a manuscript to iPolytech Journal implies that:

  1. The manuscript has not been previously published in another journal.
  2. The manuscript is not currently under review by another journal.
  3. All co-authors agree with the publication of the current version of the manuscript.
  4. The authors grant consent to the processing of personal data in accordance with the personal data processing policy available on the iPolytech Journal website.

Before submitting a manuscript for review, the authors shall ensure that the file(s) contain all necessary information in both Russian and English, the sources of information presented in figures and tables are cited properly, and all quotations are formatted correctly.

In the event of simultaneous submission of the manuscript to multiple publications, the published article will be retracted (withdrawn from publishing). Monitoring of unauthorized citation is conducted through Plagiarism Control systems («Антиплагиат»). Upon detection of substantial plagiarism, the editorial board will act in accordance with COPE Guidelines.

 

III. SUBMISSION AND FORMATTING GUIDELINES FOR MANUSCRIPTS

The manuscript shall be submitted via the online submission form (prior registration of the authors is required). The file to be uploaded to the system shall be in Microsoft Word (.docx, .rtf).
Authors have an option to send a duplicate of the manuscript to the iPolytech Journal editorial email: pgp@istu.edu

 

The manuscript shall include:

  1. Author(s) Name

Authors are individuals identified by the research group as the primary contributors to the presented work, who have agreed to take responsibility for their contribution. The contribution of the co-authors shall be specified for all parts of the work.

Individuals who are not considered as authors of the manuscript shall not be included in the author list. The names of individuals who are not considered as authors, although have provided various forms of support, shall be listed in the Acknowledgments.

  1. Author(s) Information

The section contains the following information: full name of the author(s), academic degree (Doctor of Science, Candidate of Science, PhD, etc.), academic status (Associate Professor, Professor), position, legal name of the organization, address (including postal code, city, and country). Additionally, email addresses, ORCID, and mobile phone numbers of all authors shall be provided (corresponding author is emphasized in bold; the journal's editorial board communicates with the corresponding author regarding any issues).

  1. Author(s) Affiliation

The affiliation shall include the legal name of the organization. Authors are required to indicate all places of employment relevant to their research.

If authors from different institutions contributed to the preparation of the article, each author's affiliation shall be specified with a superscript index.

The legal English name of the organization is required for the information section in English.

  1. Article title

The article title in Russian shall accurately reflect the content, theme, and results of the conducted research. The English title shall be grammatically correct in terms of the English language and shall fully correspond in meaning to the Russian title.

  1. Abstract 

The abstract shall be concise and clear, free from irrelevant information, written in persuasive language. The abstract includes the following sections: objective, methods and materials, results, area of application, and conclusion. The abstract shall remain free from newly introduced terms, abbreviations (except for widely recognized), and references. The abstract is recommended to contain 200‒250 words.

  1. Keywords

Keywords contain 7 to 10 words and word combinations relevant to the topic. They are recommended to complement the abstract and title of the article.

  1. Funding

This section shall specify all funding sources related to the research

  1. Acknowledgments 

This section contains acknowledgments to individuals who are considered as contributors to the article rather than its authors. Contributions to the article may include: suggestions for improving the research, provision of research facilities, institutional control, assistance with specific analyses, provision of research materials. It is considered good practice to express gratitude to anonymous peer reviewers.

  1. Stated Contributions of Authors

Authors are required to state the actual contribution of each co-author to the work. The order of authorship and co-authorship shall be agreed upon by the authors.

  1. Conflict of Interest

A conflict of interest refers to situations in which individuals possess conflicting or competing interests that may influence the editorial decision-making process. Conflicts of interest can be potential or perceived, as well as actual. Objectivity may be affected by personal, political, financial, scientific, or religious factors.

The author is required to notify the Editor-in-Chief of any actual or potential conflict of interest by including relevant information in the designated section of the manuscript. The author shall notify of the absence of conflicts of interest, using the following phrase: “The author declares no conflict of interest.”

  1. Manuscript

The journal follows the IMRAD format (Introduction (with a defined objective of the study), Methods, Results, Discussion, Conclusions) written both in the Russian and English languages.
The length of the manuscript shall not exceed 20 pages, including tables, figure captions, and references. The text shall be formatted in a single column.

The length of summaries shall not exceed 8 pages, excluding the reference list. The text of the summary shall be structured in the IMRAD format. The number of illustrations is limited to two; the number of tables ‒ to one. A summary is required to have an abstract of 200‒250 words and 5‒10 keywords.

When submitting a manuscript in Russian:

The UDC, title of the article, full name(s) of the author(s), affiliation(s), and keywords (up to 10), as well as the abstract, shall be translated into English. Specific terms that facilitate the translation of the abstract shall also be provided separately following the keywords.

When submitting a manuscript in English:

The UDC, title of the article, full name(s) of the author(s), affiliation(s), and keywords (up to 10), as well as the abstract, shall be translated into Russian

  1. Figures

Figures shall be of good quality and suitable for printing.

All figures shall be provided with captions.

Figure captions shall be translated into English.

Figures are numbered in Arabic numerals and ordered according to their appearance in the text. The only one figure in the text is not numbered.

References to figures shall be formatted as follows: “As shown in Fig. 3, ...” or “It is indicated that ... (see Fig. 3).”

A figure caption shall include the figure number and its title. It shall be left-aligned:

No period shall be placed after the figure caption.

The translation of the figure caption shall follow the figure caption.

  1. Tables

Tables shall be of high quality. Editable tables are preferred over scanned versions or images.

All tables shall be entitled.

The title of the table shall be translated into English.

Tables are numbered in Arabic numerals and ordered according to their appearance in the text. The only one table in the text is not numbered.

References to tables shall be formatted as follows: “Table 3 indicates that...” or “It is indicated that... (see Table 3).”

The table includes its number and title.

It shall be center-aligned as follows:

No period shall be placed after the table title.

The translation of the table title shall follow the table title.

  1. Screenshots and photographs

Photographs, screenshots, and other non-drawn illustrations shall be uploaded separately in a dedicated section of the manuscript submission form as files in *.jpeg, *.bmp, *.gif (or *.doc and *.docx if the image is marked with additional annotations). The resolution of the images shall exceed 300 dpi. Image files shall be named according to the figure number as referenced in the text. The file description shall include a caption corresponding to the title of the photograph that is included in the text.

  1. Footnotes

Footnotes are numbered in Arabic numerals and placed page by page. Footnotes may include references to anonymous sources available online, citations from textbooks, educational materials, GOST standards, abstracts, and dissertations (in cases where quoting published articles based on dissertation research is not feasible).

  1. References

References are formatted in iPolytech Journal in accordance with the requirements of GOST R 7.0.5–2008. The journal employs the Vancouver style for citations within the text of the article, as specified in the following resources: https://rassep.ru/academy/biblioteka/106597/;

This formatting adheres to the guidelines established by the International Committee of Medical Journal Editors (ICMJE) http://www.icmje.org/icmje-recommendations.pdf, which stipulates that sources shall be referenced in square brackets, with subsequent citations listed in the order of citation. Page numbers are indicated within square brackets, separated by a comma and a space following the source number: [6, p. 8].

The reference list shall include only peer-reviewed sources (articles from scientific journals, books, monographs, and patents) that are cited within the article. Abstracts, dissertations, textbooks, instructional materials, GOST standards, information from websites, or statistical reports are not recommended to be included in the reference list, though, if necessary, they can be included as a footnote. When describing a source, the DOI (if available for the cited article) shall be specified, ensuring that its functionality is verified through exploring the EDN of articles published in the RSCI database on the eLIBRARY.RU platform.

Citations for articles that have been accepted for publication but not yet published shall bear “in print” mark; authors shall obtain written permission to reference such documents and confirmation that they have been accepted for publication. Information from unpublished sources shall be marked as “unpublished data/documents,” and authors shall also secure written authorization for the use of such materials.

Citations shall primarily refer to original sources from scientific journals included in global citation indices and the Russian Scientific Citation Index (RSCI). 25‒30 sources are advisable to use, at least 20 of which published over the last three years, and 50% being foreign sources. References shall include the following details: authors, title of the article, title of the journal, year of publication, volume and issue number, page numbers, DOI (if available), and EDN for articles hosted in RSCI.

All authors shall be listed in the reference of each source. References shall be verified, and publication details checked on the official websites of the journals and/or publishers.

A translation of the references into English is required. Russian reference shall be followed by the indication of its origin: (In Russ.).

The transliteration of authors' full names and journal titles shall comply with the BSI standard.

V. JOURNAL-AUTHOR INTERACTION

The editorial board of the journal communicates with the responsible (corresponding) author. However, upon request, correspondence may be sent to all authors for whom an email address has been provided.

All manuscripts submitted to iPolytech Journal undergo a preliminary review by the journal's managing editor to ensure compliance with formal requirements and are checked using Plagiarism Control system. At this stage, the manuscript may be returned to the author(s) for revisions with a request to correct errors or to add missing information. Additionally, at this stage, the manuscript may be rejected due to non-compliance with the journal's objectives, lack of originality, or insufficient scientific value.

Following the preliminary review, the managing editor forwards the manuscript to a reviewer, specifying the review deadlines. The author is informed via a corresponding notification.

The submitted manuscripts undergo a procedure of double-blind peer review. In controversial cases the managing editor may involve several specialists as well as the Editor-in-Chief in the review process.

Upon receiving a positive review, the manuscript is forwarded to the managing editor to be prepared for publication.

If a manuscript shall be revised, the reviewer’s comments and suggestions are communicated to the author. The author is granted a period of two months to address the revisions. If the author does not inform the editorial board of their intended actions within this timeframe, the manuscript will be withdrawn from the publication process.

Upon receiving a rejective review, the author is informed via a corresponding notification.
The corresponding author of an accepted manuscript will receive the final version to check. A response from the authors is expected within three days. No reply from the author within this period means that the article’s final version is approved.

 

V. PROCEDURE FOR REVIEW OF EDITOR/REVIEWER DECISIONS

If the author disagrees with the conclusions of the reviewer and/or the Editor-in-Chief or with specific comments made, they may contest the decision. In this case the author shall:
- revise the manuscript in accordance with the reasoned comments provided by the reviewers and the Editor-in-Chief;

- clearly articulate their position regarding the matter in question.

The Editor-in-Chief facilitates the re-submission of a manuscript that could potentially be accepted but was rejected due to the need for substantial revisions or the collection of additional data. The Editor-in-Chief can provide a detailed explanation of what revisions are required for the manuscript to be considered for publication.

 

VI. ACTIONS OF THE EDITORIAL BOARD IN CASE OF PLAGIARISM, DATA FABRICATION OR FALSIFICATION

In case of the detected unfair behavior on the part of the author, plagiarism, fabrication or falsification of data, the editorial actions are guided by the rules of COPE.

iPolytech Journal refers unfair behavior to any actions of a researcher that involve improper handling of research subjects or intentional manipulation of scientific information, resulting in a failure to accurately represent the conducted research, as well as behaviors that do not comply with accepted ethical and scientific standards.

 

VII. CORRECTION OF ERRORS AND RETRACTION OF AN ARTICLE

When errors are discovered in the text of the article that affect its perception, though do not distort the obtained results of the research, they may be corrected by replacing the PDF file of the article and indicating the error within the article itself and on the journal's website.

In the events, when errors discovered in the text of the article distort the obtained results, or in cases of plagiarism, discovery of author(s)’ unfair behavior related to data falsification and/or fabrication, the article may be retracted. The retraction may be initiated by the editorial board, the author, the organization, or a private individual.

A retracted article shall be marked as “Retracted,” and the reason for retraction shall be displayed on the article's page. Information about the retraction will be transmitted to the databases in which the journal is indexed.

 

VIII. USE OF ARTIFICIAL INTELLIGENCE IN ARTICLE PREPARATION

Considering the increasing popularity of artificial intelligence-based programs (AI programs), and their application for preparing scientific articles, the iPolytech Journal editorial board informs authors about the following:

  1. ChatGPT and similar Chatbots, under no circumstances can be listed as authors of the article or individuals who contributed to its preparation. AI programs and tools do not meet the criteria for authorship, as they do not bear (and cannot bear) responsibility for the submitted work, cannot declare the existence or absence of conflicts of interest, and cannot manage copyright.
  2. The use of chatbots or other AI programs is not prohibited during the article preparation process, since it may be beneficial for editing text, sourcing additional literature, and gathering and analyzing data. However, chatbots are often detected with providing false information (literally “fabricating” non-existent facts and references to publications that have never existed), therefore authors shall verify the information obtained from chatbots.
  3. Use of AI-based program in the preparation of the article shall be disclosed in the article with the indication of the program version the date of use.
  4. Please, remember that the responsibility for the final text of the article submitted for consideration to iPolytech Journal rests solely with the author, regardless of the character and extent of AI programs used.
  5. The iPolytech Journal editorial board utilizes a Plagiarism Control module, capable of detecting generated text.
  6. No confidential materials may be transmitted to the generative AI chatbot during the handling of the manuscript by the editor and reviewers. iPolytech Journal aligns with the position of the international publishing community regarding the use of artificial intelligence in the preparation of scientific articles, as outlined in the following documents: Chatbots, Generative AI  and Scholarly Manuscripts, Artificial intelligence (AI) in decision making

 

Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.

  1. The manuscripts are accepted if have not been published or submitted for publication elsewhere.

  2. The materials should be prepared in a format OpenOffice, Microsoft Word, RTF, or World Perfect.

  3. Internet links are provided as a complete URL.

  4. The text should be typed with an interval of one and a half line spacing, font Times New Roman, 14 pt; to highlight the accents it is recommended to use italics rather than underlining (except for Internet links). All images, graphics and tables are placed within the text.

  5. The text should follow the stylistic and bibliography requirements as stated in "Author guidelines" section.

Authors who publish with this journal agree to the following terms:

  1. Authors retain copyright and grant the journal right of first publication with the work simultaneously licensed under a Creative Commons Attribution License that allows others to share the work with an acknowledgement of the work's authorship and initial publication in this journal.
  2. Authors are able to enter into separate, additional contractual arrangements for the non-exclusive distribution of the journal's published version of the work (e.g., post it to an institutional repository or publish it in a book), with an acknowledgement of its initial publication in this journal.
  3. Authors are permitted and encouraged to post their work online (e.g., in institutional repositories or on their website) prior to and during the submission process, as it can lead to productive exchanges, as well as earlier and greater citation of published work (See The Effect of Open Access).

 

Privacy Statement

Specified when registering the names and addresses will be used solely for technical purposes of a contact with the Author or reviewers (editors) when preparing the article for publication. Private data will not be shared with other individuals and organizations.
